Like many other machines and devices in an office, water coolers require regular maintenance and – most likely – a few repairs. Sanitizing and cleaning the water cooler should take place approximately every four to six weeks, or each time the bottle is replaced. Refer to the water cooler’s owner’s manual or consult with the cooler’s manufacturer or customer service about how to clean and properly carry out water cooler maintenance. When sanitizing the cooler, a good overall disinfectant solution is a tablespoon of regular household bleach and four to five cups of water.
When cleaning the water cooler, it’s usually a good idea to wear rubber gloves to protect both the cooler and hands. Also remember to turn off and unplug the water cooler before cleaning or sanitizing. Stay away from using harsh soaps and rough scouring pads, as these items can potentially damage the cooler. Pay special attention to the reservoir and dispenser faucets, cleaning and rinsing them thoroughly. The water cooler’s filter must also be changed on a regular basis. Again, check the owner’s manual or ask the water cooler’s customer service about how frequently the filter should be replaced. Lastly, keep a detailed record of each time the water cooler is cleaned and disinfected, as well as when the filter is changed.
